Reconciliation

Matching what the gateway settled against what was invoiced and what the bank received — the step where unnoticed money leaks.

Why it is harder than it sounds

Settlements arrive netted of fees, batched across days, with refunds and chargebacks folded in. Matching by amount alone fails as soon as two invoices share a value. We match on provider reference, invoice and settlement batch, and queue only the exceptions.

What it surfaces

Typical findings are fees charged above contract, refunds processed twice, and settlements that never arrived. On most mid-sized merchants the first full reconciliation pays for the year.
